Getting started

What is Eventscope?

Eventscope is a private, branded networking platform for events. Each event gets its own directory where delegates can browse participants and message each other directly, without ever revealing their email addresses. It is not a conference app, meeting scheduler, or calendar system. Networking is the sole focus.

Can we set it up ourselves, or do you do the work?

We do the work. Self-service tools exist, but clients consistently prefer to email us the materials and let us handle setup, which is how we run things.

In the run-up to an event, organisers typically send us batches of information: CSV attendee files, speaker bios, exhibitor profiles, logos. We turn everything around the same day, so your team can focus on running the event rather than configuring software.

How fast can you launch an event?

Standard setup is within 24 hours once we have your branding, attendee list, and event details. Updates sent during the run-up, such as additional attendees, speaker bios, or exhibitor logos, are turned around the same day. Shorter launch turnarounds are possible for urgent cases. We frequently setup Eventscope for conferences same-day. So if you're hesitating, just sent us a WhatsApp and we'll get back to you as soon as we can. (WhatsApp is better for immediate replies if you're in need of same or next-day setup.

What do you need from us to launch?

Email us an attendee list (name, email, company, job title) in any common format such as CSV or Excel, your event logo and colours if you want branded styling, and basic event details such as dates and a short description. That is enough for a standard launch. Speaker bios, agenda details, exhibitor profiles, and any other content can follow as they become available.

Privacy and data protection

Are attendee email addresses visible to other delegates?

No. Email addresses are never exposed to other delegates. Attendees see only each participant's name, company, and job title. All messaging happens inside the platform. This is the core privacy principle Eventscope was built on.

Is Eventscope GDPR compliant?

Yes. Eventscope is operated by New Era Digital Consultants Ltd, registered in England and Wales, and is the data controller under the UK GDPR and Data Protection Act 2018. We process attendee data on the legal bases of legitimate interests, contract performance, and, where relevant, consent. See our Privacy Policy for the full detail.

How long do you retain event data?

Event data and messages are retained for up to 12 months after an event concludes. Event organisers can request earlier deletion at any time. Basic attendee profile information is retained if a delegate uses the platform across multiple events, to simplify future logins. 

How do you prevent spam between delegates?

All messaging is internal to the platform, so no one can harvest email addresses to send outside spam. Attendees choose whether and when to share their direct contact details with someone they have been in touch with.

Do you sell attendee data or share it with advertisers?

No. We do not sell personal data to third parties and we do not share data with advertisers. Full detail is in our Privacy Policy.

Can an attendee opt out of the directory?

Yes. Attendees can control their visibility. Individuals who do not want their profile listed can be hidden on request from the organiser or directly by the attendee, without losing access to the platform for their own use.

Platform and features

How do delegates log in?

Delegates log in by email via a magic link. There are no passwords to remember. This keeps friction low and security high.

Do attendees need to download an app?

No. Eventscope is a web application. It works in any modern browser on phone, tablet, or desktop. Nothing to install, no app store approvals, no version fragmentation.

Can we brand the platform with our logo and colours?

Yes. The standard package includes a fully branded platform with your logo and colours. Deeper custom styling and bespoke features are available at additional cost. Contact us with your brand guidelines to discuss.

Can we share presentation files and documents?

Yes. File storage for presentations and event documents is included. Organisers can upload materials before, during, or after the event, and attendees access them from inside the platform.

Pricing

What does the £499 per event include?

The flat per-event price covers a fully branded platform with your logo, email and PIN login for delegates, file storage for presentations, multi-device access, 24-hour setup, and our team doing the configuration work. Additional customisation is available at extra cost.

Are there per-attendee fees or hidden costs?

No. £499 is flat per event, not per attendee. Bespoke customisation or extended support scope is charged separately and agreed up front, so there are no surprises on the invoice.

How is pricing structured for recurring annual events?

Many clients run annual events with Eventscope. Volume and multi-event arrangements can be agreed directly, and repeat events often benefit from carrying over attendee profiles between years. Get in touch to discuss the right structure for your calendar.

Integrations, import, and export

Does Eventscope integrate with our CRM?

Yes. We can integrate with any CRM you use, including Salesforce, HubSpot, and Microsoft Dynamics. Tell us which CRM and how you want data to move, and we will set it up. In practice, most clients simply forward us attendee lists and we handle the flow.

Can we import attendee lists from our registration system?

Yes. We support CSV, Excel, Eventbrite exports, Cvent exports, and essentially any other format. If yours is unusual, send it over: adapting is easy and handled as part of setup.

Can we export data after the event?

Yes. Attendee lists and engagement summaries can be exported at any point. Message content between delegates is private and is not shared with organisers, consistent with the platform's privacy principles.

Do you offer single sign-on (SSO)?

Not by default, because no client to date has needed it. If you want SSO (SAML, OIDC, or similar) for your event, we can add it. Tell us your identity provider and we will set it up.

Do you offer an API?

Yes. An API is available. In practice, no client has ever needed (or wanted) to use it: We built it because we wanted to be sure to offer the capability, but so far, our customers have overwhelmingly prefered to forward us the content and let us handle the setup and updates. If you want direct API access, we will provision it.

Hosting and deployment

Where is our data hosted?

In the United Kingdom or North America by default. Eventscope is a UK-based business and our infrastructure lives here unless you ask otherwise. See the next question for geographic flexibility.

Can we choose where the platform is hosted geographically?

Yes. We can place your Eventscope instance in any physical jurisdiction you need: UAE, USA, EU, or elsewhere. This is particularly useful for clients with specific data residency requirements driven by regulation or procurement policy.

Is a dedicated instance available?

Yes. For clients who want isolated infrastructure, a dedicated-instance option is available. Your Eventscope instance can run on its own dedicated compute rather than shared, in the jurisdiction of your choice, as long as we can host a server there.

Can we self-host Eventscope?

Yes, self-hosting is possible. Tell us what you are trying to achieve and we will work out the right shape. For most clients the managed service is the simpler option, but we are not dogmatic about it.

Support and event coverage

What support do you provide during a live event?

Standard support hours are 9am to 5pm London UK time. In practice we routinely work longer, and during live events we support whatever timezone the event is running in, on-demand for the duration of the event. WhatsApp is available for urgent issues.

Setup, attendee additions, and content updates can all happen live while your event is running.

Event size and format

What size of event is Eventscope suitable for?

Eventscope works best from around 10 to 15 delegates upwards: below that the networking effect is thin. On the upside, events of several hundred or thousand attendees are routine. There is no hard cap.

Does it work for virtual, hybrid, and in-person events?

Yes. Eventscope is format-agnostic. The networking layer runs in the browser regardless of whether delegates are together in a venue, remote, or a mix. It is especially useful for hybrid events where bringing people together across formats is usually the hardest part.

How long has Eventscope been operating?

Since 2003. Eventscope was founded by Hetty MacLeod and has been serving event organisers, including Informa Group, for over 20 years. The platform has matured through offering services to hundreds and hundreds of events and conferences.
